AI and automation for a brokerage or a property management company is software that handles the repeat work around a deal or a door, so agents and managers spend more of the day with clients, owners and residents. AI is short for artificial intelligence, software that can read and write plain language, and automation is a set of steps a computer runs on its own once something happens, like a new lead from your website or a resident reporting a leak. So, the software answers, sorts, reminds and drafts, and your agents and managers still make every decision that matters.
Where do the hours go in real estate and property management?
So, buyers still want a person to guide them. The National Association of Realtors reported on November 4, 2025 that 88% of home buyers in its 2025 Profile of Home Buyers and Sellers used an agent or broker.
Property managers are being asked to do more with the same team. In Buildium's 2027 State of the Property Management Industry Report, published October 14, 2026 from a survey of more than 930 property managers, 70% of companies planned to keep their teams the same size in the coming year while 64% planned to grow their portfolios. Buildium sells property management software.
More doors with the same team means the hours have to come from somewhere. Most of the time they come out of follow-up, which is the part of the business that pays later.
On the brokerage side and the property side, the hours go to the same few places.
Leads that wait until the showing is over
A buyer asks about a listing on Saturday afternoon while the agent is in a showing, and by the time anyone answers, the buyer has already booked a tour with someone else. A lot of online leads go to whoever answers first.
Transaction deadlines tracked on sticky notes
Inspection, appraisal, financing and closing dates live in the agent's head or a spreadsheet, and the transaction coordinator, the person who keeps each deal's paperwork and deadlines on track, chases signatures by email one at a time.
Maintenance requests from every direction
Residents report problems by phone, text, email and the portal, and someone has to sort the burst pipe from the squeaky cabinet, pick the vendor, and tell the resident when someone's coming. At night and on weekends, that sorting often waits until morning.
The same resident and owner questions
When is rent due? Can I have a dog? Where's my owner statement? Your staff look up the same lease terms and the same reports all day, and each one pulls them off something else.
Nobody knows whether assistants recommend you
Sellers, buyers and renters can now ask ChatGPT or Gemini for an agent or a management company, and most firms have never checked whether their name comes back.
What would we build for a brokerage or property manager?
The operations fixes below are fixed-scope, fixed-price builds, priced on our problems and prices page, where the ranges are published for teams of two to five people.
Lead response while the agent is busy
Every new lead gets an answer right away with the listing details and a way to pick a showing time, the conversation goes into your CRM, and the agent sees who's ready to talk. This is our lead capture and follow-up build, from $5,000 on our problems and prices page.
A deal calendar that chases its own deadlines
Each contract's key dates get pulled into one calendar, the reminders go to the agent, the client and the other side before anything is late, and the transaction coordinator sees which deals need attention today. This is document intake and workflow automation, from $5,000 on our problems and prices page.
Maintenance requests sorted the moment they arrive
Every request, however it comes in, lands in one list sorted by how urgent it is under rules you set, an emergency goes straight to the on-call person, and the resident gets a reply that says what happens next. A person still approves the vendor and the spend. This is workflow automation, from $5,000 on our problems and prices page.
Answers from your own leases and reports
Staff ask a question in plain words and get the answer from your own lease terms, community rules and owner reports in seconds, with the source shown. This is our knowledge assistant, from $12,000 on our problems and prices page, and it's described on our custom AI tools page. It's built on the same architecture as our production system, which has run 1,000+ real cases.
A firm the assistants can find
Our AI visibility work fixes how your brokerage or company reads to the assistants: the opening of each page, the machine-readable description of your business, and matching name and area language across your site, Google Business Profile and directories. The audit is free, and the fix is a fixed price and a fixed finish date, agreed before we start.
Leads answered first, deadlines that don't slip, emergencies handled at night, questions answered in seconds... more closed deals, happier owners, residents who renew, all of it.
What does an AI assistant say about agents and managers like you?
When someone asks ChatGPT, Perplexity, Gemini, Google's AI Overviews or Copilot for a listing agent who knows their neighborhood or a property manager for a small rental portfolio, the assistant names a few and leaves out the rest, and it decides what you do and where you work from what your site and your listings say. Our free AI visibility check puts a few questions like those to ChatGPT and shows you its answer word for word: whether your name comes back, who comes back instead, and how it describes you.
Where does AI not work in real estate and property management?
AI doesn't decide who rents an apartment, and we don't build anything that screens or approves applicants. Those decisions stay with a person, under your own written criteria and your fair housing obligations. It also doesn't price a listing or give advice on a contract. Your agents and your broker own those.
Relationships are the other limit. A lot of real estate business comes from people who already know you, and no text-back replaces a phone call from an agent a seller trusts. The automation should get you to that call faster, and it shouldn't stand in for it.
That being said, most CRMs and property management platforms already have reminders and request portals that nobody set up. If that's you, the cheaper fix is setup and training on what you already pay for, and we'll say so. And if your business is all referrals and nobody ever asks an assistant, the visibility work isn't worth your money.
Where should a brokerage or property manager start?
Start with the free AI visibility check. It shows what ChatGPT says when someone asks for an agent or a management company like yours, who it names instead, and how it describes you, and the report is yours to keep whether we ever work together or not.
Would it help to know what a seller or a renter hears about you before they ever call? No worries either way.
